Roles and what each person can see

Everyone in your organization has one role. The role decides which programs they see and what they can change.

The roles

RolePrograms they seeWhat they can do
OwnerEvery programEverything, including archiving the organization. The person who created it.
AdminEvery programEverything except archiving: settings, team, apps, billing, budgets, donors and pay rates.
CoordinatorThe programs you assignWorks in those programs and approves staff timesheets for them, never their own.
StaffThe programs you assignWorks in those programs. In Work, sees the items assigned to them.
Board memberEvery programUses Board Hub for meetings and packets. Sees budget totals, not ledgers.
VolunteerThe programs you assignSigns up for shifts and sees their hours in their volunteer portal.

Kept to owners and admins

  • Organization, Team, Subscription, Integrations and Trash settings
  • Turning apps on or off, and inviting people
  • Pay rates, budget entries, donor records and grant amounts
  • The Web app and your public page
  • Approving volunteer hours, except that staff can approve them for their own programs

To stop staff approving volunteer hours, turn off Coordinators can approve hours in Organization settings.

Change someone's role

  1. Open Team settings

    On a computer, press the gear next to your organization's name, then choose Team.

  2. Press View on the person

    Their Access card shows their role and programs.

  3. Pick a new role

    It saves straight away and says "Role updated." Tap program buttons to change which programs they see.

You cannot change your own role, nobody can be made owner, and the owner's role cannot be changed. Every change is kept in the person's History.

Common questions

How do I remove someone from our organization?

There is no button for that yet. Write to hello@donewithember.org and a person will help.

Can I hand ownership to someone else?

Not yet. Write to hello@donewithember.org if you need to.

Someone asked to join. Where do I see it?

In Team settings, under Asked to join. Press Add to the team to add them as staff, or Decline.

A board member can't RSVP or vote in Board Hub.

People invited as board members get a board seat when they accept. If you changed an existing member's role to board member, add their seat in Board Hub.
