Groups of people

A group is a set of people you name, like a committee or a team. Give a step in Work to the group, and everyone in it sees the step and can tick it off.

Make a group

  1. Open Groups settings

On a computer, press the gear next to your organization's name, then choose Groups.

  2. Press Make a group

A panel opens. Type the group's name.

  3. Choose the people

Tick anyone on your roster: staff, volunteers or board members. Then press Make the group.

Open a group to see who is in it, highest role first. To change its name or its people later, press Edit group.

Give a step to a group

  1. Open the step in Work

Add a step to a project, or open one that is already there.

  2. Pick the group

Under Who owns this step?, choose the group from the Groups list.

A step has one owner: a person or a group.

What people in the group see

  • The step shows on their own list, marked "for" and the group's name: in Assigned to me in Work, or under Your steps in a volunteer's portal.
  • Any one of them can tick it off.
  • Take someone out of the group and its steps leave their list straight away.
  • Volunteers and board members see only the names of their own groups, never who else is in them. Only owners and admins can make or change groups.

Show one group's work, time or pay

  • Work: pick a group under Show work for to see projects with a step for the group, or for someone in it now. Owners, admins, staff and coordinators have this.
  • Time, when you review timesheets: Show time for shows timesheets from the people in the group.
  • Time, Payroll export: Show pay for shows their pay, and the CSV you download follows it.

The filters use who is in the group today, not who was in it when the work or time was logged.

Rename or archive a group

Open the group and press Edit group to change its name. Steps it already has show the new name.

Press Archive this group when a group is done: it can't take new steps, and steps it already has keep its name. Pressed it by mistake? Press Undo on the message that appears.

Archived groups wait under Archived. Open one and press Bring it back to restore it.

Common questions

Can I delete a group?

No. Groups are archived, not deleted, so the steps they had keep their name. You can bring an archived group back at any time.

Do people get an email about their group's steps?

No. Ember's emails about steps cover only steps given to someone by name. A group's steps show in Work and in the volunteer portal.

Can a volunteer be in a group with staff?

Yes. A group can mix staff, volunteers and board members. Staff see the group's steps in Work, and volunteers see them in their portal.
