How to write a donor thank-you letter (with templates)

A good thank-you does more than say thanks. It makes the donor feel their gift mattered, which is the single biggest reason a donor gives again.

It can also double as your IRS acknowledgment if you include one line. Here is how to write one that works, with templates.

Why the thank-you is your best retention tool

Most first-time donors never give a second time, and the most common reason is that they never felt their gift mattered. A prompt, warm, specific thank-you is the cheapest, highest-return thing you can do to fix that.

Late (weeks later), generic ("Dear Friend"), or asking for the next gift in the same breath. Those undo the goodwill.

First gift:

Dear [Name], your first gift to [Organization] just made [specific impact] possible, thank you. You are now part of what we do here, and we are grateful you chose us. We will keep you posted on what your support makes happen. Warmly, [Name].

Repeat donor:

Dear [Name], here you are again, thank you. Your continued support of [Organization] means [specific impact]. Donors like you are the reason we can keep going. With gratitude, [Name].

Common questions

How soon should I send a donor thank-you?

Within a few days of the gift. Speed matters more than polish; a fast, warm note beats a perfect one that arrives weeks later.

Can a thank-you letter be the tax receipt too?

Yes. If it includes the amount, date, and a statement about any goods or services provided, your thank-you doubles as the IRS acknowledgment.

Should I ask for another gift in the thank-you?

No. Thank first, with nothing attached. Asking again in the same breath undercuts the gratitude and hurts retention.

Do handwritten notes matter?

Yes, especially for larger or major gifts. A real signature or a short handwritten line makes a donor feel seen in a way a form letter cannot.
