CiviCRM alternatives, honestly compared

CiviCRM is free, open source, community driven and has been going since 2005. It is also the most demanding option in this market to run. If that demand is what sent you looking, here is the landscape. One disclosure up front: we make Ember, one of the options below.
The main CiviCRM alternatives for small nonprofits are Little Green Light (from $45 a month), Zeffy and Givebutter (free, funded by donor tips), Neon One (from $99 a month), Bloomerang (from $125 a month) and Ember (free under a $50K budget), all hosted for you with nothing to install or upgrade.
CiviCRM's license costs nothing. Hosted CiviCRM Spark starts at $15 a month, and specialist partners who host and support it set their own, higher prices. The real cost is neither of those: it is the person who configures it, upgrades it and fixes it when an extension breaks.
What CiviCRM gets right
Control. Your data is in your database, on hosting you chose, under a license nobody can revoke. No vendor can raise your price, get acquired, or sunset the product from under you. For advocacy organizations, membership bodies and anyone with unusual data needs, the flexibility is real and no commercial tool matches it.
It has also run for two decades without outside investment, sustained by contributions and paid work from its own community.
What it costs that the price does not show
Someone has to be the person who knows. Configuration, upgrades, extension compatibility, and the judgment to tell a bug from a settings mistake. When that person is a volunteer, the risk is that they leave. When it is a paid implementer, the annual bill usually exceeds what a hosted tool would have cost, which is a legitimate trade if the flexibility is worth it and a bad one if you just needed to track donors.
Be honest about which you are. Most small organizations looking at CiviCRM want a donor database and are being told free means cheap.
Before you switch anything
Export your data first
Contacts, gift history, notes, communications. Do it while everything works and you are calm, not mid-migration.
Price every option on your real numbers
Record count, contact count, annual revenue, seats. Different tools bill on different things, so a headline price tells you almost nothing until you put your own figures in.
Check your renewal date
Migrations take longer than planned. Start well before renewal, not the week of it.

How to choose between them
If donor management is the whole job and you want it calm and cheap, Little Green Light is hard to beat. If retention analytics are the reason you are shopping, that is Bloomerang's home turf. If your books are the problem and fundraising is secondary, Aplos is built that way round. If you have technical help and no budget, CiviCRM does the most for nothing. If you only need donation forms, Zeffy costs nothing, with the donor contribution prompt as the tradeoff. Givebutter is free on the same terms and adds a donor database with unlimited contacts.
Ember's pitch is different: one place for the whole operation, priced by your budget so a growing list never raises your bill. We are also the newest name on this list. If a decade of track record is what you need, that is Little Green Light or DonorPerfect, not us.
