Tips for a sheet that gives you real hours

  1. Put it where people walk in. Tape it to the table by the door and tie a pen to it. A sheet in someone’s bag never gets signed.
  2. Ask for time out, too. Time in tells you who came. Time out tells you how long they stayed. That’s the part a volunteer asks you for when a school or an employer wants proof of their hours.
  3. Add up the hours the same day. Time out minus time in, row by row, while you still remember who left early. Then type them into the volunteer hours log maker to keep a running total. The guide to tracking volunteer hours covers the rest, and the volunteer hour value calculator turns those hours into a dollar figure.
  4. Collecting names before the day? That’s a sign-up sheet. The volunteer sign-up sheet maker uses the same shifts and roles.

Questions

What should a volunteer sign-in sheet include?

Put the event, date and place at the top. Then give each volunteer one row: name, role, time in, time out and signature. Add a phone or email column if you’ll need to reach people afterward. An emergency contact column helps for physical work or a long day. You can turn each of those on or off above.

What’s the difference between a sign-in sheet and a sign-up sheet?

A sign-up sheet goes out before the event and tells you who plans to come. A sign-in sheet sits by the door on the day and records who actually came, and for how long. For the first kind, use the volunteer sign-up sheet maker.

Why use a sign-in and out sheet instead of sign-in only?

Sign-in alone tells you who showed up. Add a time out and every row turns into hours. That’s what a volunteer needs when a school or an employer asks for proof. It’s also the total you’ll want for your own reports.

Can I print it in landscape or save it as a PDF?

Yes. Choose Landscape under Page layout, which helps when you’ve switched on extra columns. For a PDF, press Print the sheet and choose “Save as PDF” as the printer.

How many rows fit on one page?

About 23 in portrait and 15 in landscape, with room to write. Ask for more and the sheet runs onto a second page, with the column headings repeated at the top.

Do you keep what I type?

No. The sheet is made in your browser and nothing is sent to Ember. Close the tab and it’s gone.
